Visa Invitation Letter

May you send me the invitation letter to the congress in order to facilitate my VISA process?

We are not able to provide an invitation letter before the registration is completed, therefore we kindly ask you to proceed with payment. Only when the full payment of the registration fee has been received we will be able to send you an invitation letter signed by Local organising committee. Registration

I have submitted a paper that will be part of the Programme of the Conference. Do I have to pay the registration fee?

Yes, you must register and pay the registration fee. Authors must register during Early Bird period (until March 1st 2019), so they benefit for this discounted rate. Papers from authors that do not register to the Conference at the due time will be withdrawn from the Conference Programme.

I have submitted several papers, which ID shall I give in my registration

At the registration site is only possible to provide one paper ID. Please proceed with registration indicating only one of the ID.

Registration rates:  What does demarcation “LIC.”  stand for, and how do I know if my country  is eligible for the discounted rates?

Refund

In terms of refund, this is our policy:
  • Cancellations 90 days prior to the start of the Conference (before March 25) will receive a full refund less a 10% administration fee.
  • Cancellations between 89 and 30 days prior to the start of the Conference (March 26 to May 24) will be refunded 50% of fees.
  • No refunds will be provided for cancellations within 29 days of the start of the Conference (May 25 onwards) or no-shows; the delegate will be liable for the full amount.

Publication of Paper

My paper has been accepted to be part of the programme  as an Oral presentation.  Does it mean that my full paper will be published by an IWA journal?

No, it doesn’t. Please note that acceptance of a paper for conference presentation is not related to the publication in the IWA journal and does not guarantee subsequent acceptance for journal publication. Once you send the full paper, the final decision on journal publication lies with the journals’ Editor-in-Chief.

It is necessary to submit a full paper if I do not intend to have the paper published in the journal?

No, it is not mandatory to submit a full paper.

Can I submit the full paper if my paper will be presented as a poster?

If you wish to submit full paper of your work, kindly consider submitting directly to IWA Publishing; please do so at: https://www.editorialmanager.com/wst/. You should select the journal that fits the best to your paper’s topic, for instance;  Water Science and Technology; Water Science and Technology: Water Supply; Journal of Water Reuse and Desalination; or Journal of Hydroinformatics. Please for further details about publication you must liaise with IWA Publishing. Conference Secretariat of LET will not be able to help you in this regard.

What are the online  proceedings of the IWA YWP Conference?

In the IWA events, the online proceedings are a collection of the papers presented (outline papers of oral presentations and digital version of posters). All the papers submitted to the event and accepted to be part of the programme may be uploaded to the proceedings, if the author agrees. The proceedings are available for all the registered delegates of the Congress.

May the online proceedings of the IWA Conference be referred as a publication?

No, the online preprint proceedings are not a publication.

Which IWA’s Scientific Journals that the submitted paper can be published? 

Depending on the subject of the paper the majority of papers will be sent to either Water Science and Technology, Water Science and Technology: Water Supply, or Water Practice and Technology.

What is the SCI(E) listed Journals? 

The ratings of the IWA Journals can be found on www.iwaponline.com

Platform Presentation

Deadline is over and I forgot to submit my paper. Please review and let me know if it can still be considered for the IWA conference.

Once the abstract submission of IYWPC 2019  is closed ( Deadline 15 October 2018), the review process by the Programme Committee the Conference Programme started. Therefore when the deadline is over it is not possible to consider any paper for the conference. We encourage you to attend the Conference, there are plentiful opportunities to showcase your work and experiences and to hear from others.

What do you mean with “platform presenter”?

As a platform presenter, you will have a slot in the programme, which means that you will have around 10 minutes to present your work with support of power point presentation slides. The questions and answers time you will have will be around 5 minutes. The Programme Committee will allocate your presentation in a session with related topics that will allow you to share your work within a very interested audience.

Why do I need to submit my powerpoint presentation to the Conference Secretariat before 30 April 2019?

The Programme committee offers the support to all authors to review and comment on your powerpoint slides in order to improve your presentation design, and the end delivery of your 10 minute presentation. It is our intention during the preconference period to support you in developing your capacity to present.

I cannot attend to the Conference. Can a colleague of mine who is going to the Conference, present it on my behalf. Although she/he is not on the author list?

The paper must be presented by the authors or co-authors. If your colleague is not the co-author of the poster, it is not possible to present on your behalf. If any of the other co-authors are attending the Conference they may present instead of you.  However any change of presenter must be notified to the Conference Secretariat a soon as possible. Papers whose presenter change without notification will not be accepted to be part of the Programme of the Conference.

Poster and Two Minute Thesis Presentation

I would like to deliver an oral presentation but my paper was selected for a poster presentation?

All the applications are extensively reviewed by the Programme Committee in order to develop the programme.  Please note that only few papers are selected to be presented at platform.

Is there still a chance to be upgraded to deliver a platform presentation?

Only if selected platform presenters decline the invitation to present, or cancel their attendance can the programme committee approach poster presenters. This will not be done upon request by the author, but upon the Programme committee contacting the author.

What is a Two Minute Thesis Presentation?

This is a 2 minute presentation, supported by 1 powerpoint slide, during one of the Two minute Thesis presentation sessions inside the overall programme. The intention is to a) bring attention to your poster b) give you the learning opportunity to present and stand in front of a crowd c) teaching you how to communicate your work in only two minutes to a non-specialist audience.

Why  it is important to submit the digital poster and one slide powerpoint presentation?

There are two reasons to submit your work prior to end of April 2019:

  • The Programme Committee will provide you with comments to your poster and Two Minute Thesis Presentation to develop your capacity to deliver the work in the best way possible.
  • The submission of the digital poster will allow you to show your work on the online proceedings of the Conference. We will make the proceedings available for the registered delegates before the congress. It is an opportunity to show your study in advance and reach more audience. You can try to send the digital version after the deadline (the sooner the better), but in that case we cannot assure that it will be available on the proceedings (you paper will be just referred).
If I send the digital poster before the Conference, do I still need to bring the hard copy of the poster with me?

Yes, Poster presenters are requested to print and bring the hard copy of the poster to the venue. The Organisers will not print any poster.

When do I need to display the poster?

The Programme Committee will inform you on what day you need to put up your poster. Before the end of the IYWPC conference, it is not a problem to take your poster with you.

My research group has submitted more papers that were accepted to be presented as platform/poster, but we have only funds to send one person to the conference. What is the maximum number of papers that one person can present?

We only allow a maximum of 1 poster presentation and 1 platform presentation to be provided per presenter.  In the case of multiple platform presentations, or multiple posters, we recommend you register another person to present them.

Funding

Can the organisers help me in covering my costs (eg. registration fees and accommodation)?

The  International Water Association is a not – for- profit network, and as such we are not able to fund the delegates to attend the conference. As a matter of fact the International Young Water Professionals Conference fees are far below cost, because we want the young water professionals to be able to afford the fees (the fees are about 1/3 or even 1/4 of regular Congress fees: eg. IWA World Water Congress, IWA Water and Development Congress, Stockholm Water Week, Amsterdam International Water Week). We have produced two services to offer you with support to find funding:

  • Justification Toolkit – to help you produce a proposal to your employer, your supervisor, or an external institution
  • An Inspirational Article – with information on how to mobilise funding and a list of funding institutions

Dress code

What is the dress code of the conference?

The IYWP conference has not defined any dress code. Taking into account that it is a Young Water Professional Conference you will have a mixture of styles within the delegates. Be aware of the temperature at the location at this period of the year.  We would advise you to use a comfortable style for networking with peers. But this is up to the person, business, informal or a mix of it. Do take into consideration that on the day of the career fair, you may want to dress a little more formal for the sake of impressing the employers in the room.
